What happens when an employee leaves the company?
Email us with 30 days' notice. Your employee either hands the bike back or keeps it on a personal subscription, and either way nothing is left outstanding with you.
The subscription runs for the full 30 days either way, so the sooner you tell us, the sooner it comes off your invoice.
If they hand the bike back
They can return it any time during the notice period, and we'll arrange a time with them directly. The subscription still ends when the 30 days are up, and it comes off your invoice from that date.
Bikes can't be passed to another employee
When someone leaves, their bike can't be handed on to a colleague. The subscription is in your employee's name, and they agreed to our terms and conditions personally when they signed up, so it stays with them.
If they keep the bike
Their subscription moves into their own name, on the payment details they gave us when they signed up. Same bike, and it stops appearing on your invoice. We let them know when it happens, and they can cancel it themselves whenever they want.
If you don't hear either way
The bike converts to a personal subscription automatically. If the notice period passes and the bike hasn't come back, that's the default, so nothing is left outstanding with you and there's no bike for you to chase.
Telling us about leavers
We'd suggest sending one email a month with everyone who's leaving. It keeps you in control of the timing rather than finding out afterwards, and we can arrange hand-ins in one go instead of case by case.
Your employees can also cancel their own subscriptions directly, with the same 30 days' notice. You'll see it on your next invoice as a part-month amount, and the CSV report shows the exact termination date if you take it.
Worth telling people at sign-up
It's worth mentioning at the start that a bike doesn't just disappear when someone moves on. Knowing they can keep it makes the scheme more attractive to join, and it means the switch to personal billing is something they were expecting rather than a surprise.
