What additional charges might I have to pay?
When will you be charged a surcharge as part of your Swapfiets subscription?
Although repairs and exchanges for your Swapfiets are free of charge, there may be surcharges for other services. To avoid surprises, the most common surcharges are listed below. Less common fees can be found in our Terms and Conditions.
We understand this can happen at an inconvenient time, so you're always welcome to contact us for support. You can request a payment extension or arrange a payment plan. Below is a breakdown of the most common Swapfiets surcharges and replacement costs.
Lost or damaged key
- Pedal bikes: €25 for a replacement key
- E-Bikes: €40 for a full replacement set (2 keys)

Lost or stolen bike
If your Swapfiets bicycle is lost or stolen, a replacement fee will apply. This fee ranges from €0 to €900 (or equivalent in local currencies, such as £0 - £900 or 0 kr. - 8000 kr.).
Factors Determining the Replacement Fee: The exact replacement cost depends on three criteria:
- Bike Model: The type of Swapfiets (e.g., Original, Deluxe 7, Power 1, Power 7).
- Lock Status: Whether the bicycle was double-locked (using both the ring lock and the chain lock) at the time of the loss.
- Theft Coverage: Whether the customer's subscription included add-on theft coverage.

Lost or damaged e-Bike battery
If the battery on your e-Bike is lost, stolen, or damaged, you'll be charged a replacement fee ranging from €175/£175/1500 kr. to €500/£500/4000 kr.
*In Germany and Belgium, a flat battery fee of €500 applies to all Power Plus subscriptions (including those with theft coverage).
Excessive damage
Everyday wear and tear is included in your membership, But if the bike is misused or damaged beyond normal use, a surcharge may apply ranging from €40/£40/450 kr. to €300/£300/2500 kr

Municipality removal
In some cities, municipalities may remove bikes due to issues like improper parking. If this happens, and you’re unable to pick it up yourself (or local rules don’t allow it), we’ll retrieve the bike for you and prepare a replacement. Please note: this only applies in markets where municipal bike removal is in place.
Retrieval fee:
- €/£40 → Original
- €/£60 → Deluxe, Power 1, Power 7, Power Plus
- 350 DKK → All bikes in Denmark
Missed appointment fee (Unjustified Bike)
If you book a field appointment (e.g., for a repair or swap) but aren't present at the agreed time and place, we charge a €20 no-show fee. This helps us keep service efficient for everyone.
How and when are extra fees charged?
Billing Timeline
- Processing Date: All Swapfiets account surcharges (including fees for bicycle damage, keys, or theft replacements) are automatically charged during the first week of the calendar month immediately following the month the fee was incurred.
