What happens if someone joins or leaves mid-month?
You're only billed for the days a subscription was active. New starters are invoiced a month later, and leavers show a part-month amount.
If an employee joins mid-month
Their subscription starts the day they collect the bike, and their first invoice comes the month after.
Say someone collects their bike on 7 August. They don't appear on your August invoice at all. They appear on your September one, charged for all of September plus their remaining days in August.
So their first line is larger than a standard month, and every line after that is normal.
If an employee leaves mid-month
Their subscription runs until the 30 days' notice is up. If that lands partway through a month, you're billed for those days only.
Because we invoice for the month ahead and you're giving 30 days' notice, that part-month usually shows up on the invoice before they've actually left. Nothing to reclaim afterwards.
If an employee switches from a personal subscription
Always clean. Switches take effect on the 1st of the month, so there's nothing to split. Their first line on your invoice is a full month.
Keeping payroll in step
Your invoice and your deduction cover the same month, so they line up by default. The two exceptions are the ones above: a new starter's first line and a leaver's last one.
The CSV report shows the same amounts as your invoice, including part-months, with the start and termination dates alongside them. That means payroll can see why a figure is what it is without working it out, and it arrives on a fixed date each time.
