What your employees need to know

You get your own bike, with all repairs and maintenance included. Almost everything works exactly like a normal Swapfiets subscription. Here's what's different.

Signing up and using your bike

Your employer will send you a link. Choose your bike, select your company during sign-up, and book a time to collect it.

From then on it's yours to ride however you like: commuting, work, weekends, holidays. If something breaks, book a service appointment through the app, exactly like any other member. Most take about 10 minutes and you'll ride away on a working bike. You don't need to go through your employer for any of it.

What it costs you

Your employer is invoiced for your subscription. Depending on what they've arranged, you might pay nothing, part of it, or all of it, and if you're paying a share it comes off your salary. Your HR team can tell you which applies.

Some costs sit outside the subscription: damage beyond normal wear, a lost or stolen bike, a replacement key, a missed appointment. Your employer may have agreed to cover these too, so ask HR. Anything they haven't covered, we charge you directly, which is why we ask for your own payment details when you sign up.

The bike stays with you

Your subscription is in your name and you agreed to our terms when you signed up, so the bike can't be passed on to a colleague. If someone else wants one, they sign up through the same link and get their own, in their own size.

If you already have a Swapfiets, or you leave the company

Already have one? You don't need to hand it back and start again. We can move your existing subscription onto your employer's account and you keep the same bike. Email business@swapfiets.com and we'll sort it from the 1st of the next month.

Leaving? Either hand the bike back, and your employer lets us know so we can arrange a time. Or keep it, and your subscription moves into your own name on the payment details you gave us. We'll tell you when that happens, and you can cancel whenever you want.

You can also cancel your own subscription at any time with 30 days' notice, the same as any member.


Everything else works like a normal subscription. Our main help centre covers repairs, moving city, lost keys and the rest.
