How do employees join the scheme?

Share the sign-up link with your team. Your employees choose their bike, fill in their personal details, and book a time to collect it.

Once your framework agreement is signed, we'll send you a sign-up link along with promotional material and an onboarding guide. Share it with your team and they take it from there.

What your employees do

  1. Open the link and choose their bike: model, size and colour.
  2. Select your company during sign-up, which is what connects their subscription to your account.
  3. Enter their details, including their own payment details, confirmed with a verification payment.
  4. Book a time to collect the bike.
  5. Pick it up and ride.

What you need to do

Share the link. You don't need to approve each person or send us a list. The same link keeps working, so there's nothing extra to do when you take someone on later. New starters use it months down the line exactly as your first employees did.

Why we ask for payment details

Two reasons. Anything you haven't agreed to cover, like damage or a theft fee, we charge your employee directly rather than putting it on your invoice. And it's what lets someone keep their bike on a personal subscription if they leave.

What to tell your team

The promotional material and onboarding guide cover most of it. We've also written a short page you can forward: what your employees need to know.

If you're only funding up to a certain amount, say so in the same message so people know what they'd be paying themselves.

If an employee already has a Swapfiets

They don't need to give it back and start over. Their existing subscription can move onto your account and they keep the same bike. Here's how that works.
