Receiving your Swapfiets: What to expect and what to bring

Everything you need to know about your first Swapfiets appointment, including what documents to bring, how the handover works, and when your subscription billing starts.

After you sign up and book your appointment, it's time to get your bike! Haven't signed up yet? Take a look at our guide on How to sign up for a Swapfiets subscription first.

During sign-up, you can choose between a fast pickup at our Swapstore or free at-home delivery.

What do you need to bring to your Swapfiets appointment?

To complete your handover, please present the following items during your first appointment:

  • Valid Identification: Your passport, driver's license, or national identity card.

Note for Belgium: In Belgium, we only accept Belgian IDs, Belgian resident cards, Belgian driving licenses, or EU passports valid for at least 6 months. We cannot accept non-EU IDs, short-term resident permits, or Orange Cards in Belgium.

  • Payment card: Your debit, credit, or bank card.
  • Proof of address: An official document showing your current living address.
  • Student card: Required only if you signed up with a student subscription.

 

What to expect during your 15-minute bike handover

Your appointment takes no longer than 15 minutes. Here is what we will do together:

  1. Check your details: We will quickly verify your ID and payment details.
  2. Explain your subscription: We will give you a brief walkthrough of how your Swapfiets subscription works.
  3. Adjust your bike: We will set your saddle and handlebars to the perfect height and position for a comfortable ride.
  4. Answer your questions: We are happy to clear up anything you are unsure about before you take off.

At-home delivery SMS timeline

If you chose at-home delivery, we will keep you updated every step of the way:

  • Night before delivery (around 20:00): You will receive an SMS with a 3-hour delivery time slot.
  • Day of delivery: You will receive an SMS with a precise 1-hour delivery time window.
  • Eco-friendly route: We always plan the shortest, most eco-friendly route for our deliveries.

 

Pickup proxy policy: Can someone else collect your bike?

No, you must be present in person for your first appointment. We need to verify your identity, sign the terms and conditions with you, and authorize your direct debit.

If someone else is paying for your subscription, the account payer must also be present with you at your first appointment.

Subscription billing start date and payment rules

You only start paying for your Swapfiets once you have physically received it. Don't worry if there are a few days between your sign-up date and your handover appointment—you won't be charged for those waiting days!
